Cancellation Policy

At Rustic Pathways, we realize that sometimes plans change. Please find cancellation info below and reach out to your Program Coordinator if you have any questions or need more information.

Cancellation by You

For individual or group cancellation at the request of the client, refunds will be provided as follows:

  • Cancellation more than 90 days prior to scheduled start date: 60% refund on total trip cost.
  • Cancellation between 89 and 45 days prior to scheduled start date: 30% refund on total trip cost.
  • Cancellation less than 45 days prior to scheduled start date: No refund.

Cancellation date is determined by the date we receive written notice (email or fax) requesting a cancellation of the participant’s program(s). Verbal notice will not serve as a valid cancellation notification.

Note that “total trip cost” includes program fees as well as internal and / or international airfare when airfare has not been booked yet. Airfare will be excluded from your refund if flights have already been purchased. If your account is not paid in full at the time of cancellation, your refund will be calculated off of the total trip cost. In some cases, this may mean that a refund will not be issued.

Deposits and administrative fees are not refundable.

Removal from the program due to violations of program rules will be considered cancellation by the student and will result in no refund of program cost.

Cancellation by Rustic Pathways

Rustic Pathways may cancel your travel program if your group does not reach the minimum number of enrollments prior to the enrollment deadline, or in rare cases, as a result of safety concerns in your region of travel. In the event of cancellation by Rustic Pathways for either reason, we will we will attempt to find a comparable experience in another location or refund any payments that have been made, including your deposit.

Trip Cancellation Insurance

We strongly suggest that families purchase trip cancellation insurance, which provides you with maximum flexibility to cancel or revise your itinerary prior to travel. Check with your group leader to learn whether insurance has been purchased already through a group policy or if you are responsible for purchasing your own coverage. If needed, you may choose your own preferred trip insurance provider, or select the Travel Protection Plan with Cancellation Coverage through our partnerships with TripMate or Trawick International.
